How a Quoting Tool Saved a Flooring Business 10 Hours a Week
Manual quotes are slow and easy to lose. What changed when a Melbourne flooring business swapped its spreadsheet for an automated quoting tool.
Quoting is one of those tasks that feels manageable until you sit down and add it all up.
For most trade businesses, a single quote takes 20–45 minutes. You measure, open a spreadsheet, calculate materials and labour, add margins, format a PDF, email it, then follow up when you don't hear back. Multiply that across 15–20 quotes a week and you've got a part-time job that generates zero revenue.
We built the Flooring Estimator for exactly this problem. Here's what changed for one Melbourne flooring business that switched from spreadsheets.
The before state
Before implementing the tool, this business was doing everything manually:
- Measurements taken on-site or received by phone
- Calculated in a shared Google Sheet with formulas that regularly broke
- Formatted into a PDF template in Canva
- Emailed manually with a follow-up note three days later
The owner described it as "death by a thousand small tasks." Nothing was technically wrong, quotes were going out, but the process was fragile and expensive in time.
The other problem: inconsistency. Different staff members calculated differently. Margins weren't always applied consistently. Occasionally a quote went out at the wrong price.
What the tool changed
The Flooring Estimator is a web-based quoting tool embedded into the business's website. Customers enter their room dimensions and product preferences, and get an instant estimate. Staff use the same tool for accurate back-office quoting.
The core changes:
Speed. A quote that took 30 minutes now takes 4–5. The calculations are automatic, the formatting is handled, and the output is consistent every time.
Consistency. Pricing rules, margin logic, and product options are configured once. There's no version-control problem, no broken formula, no human error in the calculation layer.
Customer self-service. Roughly 30% of enquiries now start with a customer generating their own estimate on the website. They arrive at the call already knowing their budget range. The conversion rate on these enquiries is higher because there's no sticker shock.
Follow-up. Quotes generated through the system trigger automated follow-up emails at configured intervals. The owner stopped manually tracking which quotes hadn't been answered.
The numbers
Across an average week, the business went from spending roughly 12–15 hours on quoting admin to around 3–4. That's time redirected to jobs, sales calls, or occasionally just not working.
The tool paid for itself in the first month.
What this looks like for other trades
The same principle applies to any trade business that quotes work before doing it: flooring, tiling, painting, landscaping, HVAC, fencing.
The specifics differ. A painting quote needs different inputs to a flooring quote. But the problem is identical: manual calculation is slow, error-prone, and hard to scale. A purpose-built tool that matches your pricing logic solves all three.
The question isn't whether automation is worth it. For any business doing more than 5–10 quotes a week, it almost always is. The question is whether the tool fits your actual workflow, or whether you're being sold a generic CRM that's supposed to solve everything and solves nothing particularly well.
The Flooring Estimator is one of the ready-made tools we've built for trade businesses. If you're in a different industry and want something similar, let's talk. The underlying approach translates directly.
